How to Respond to Google Reviews: Templates for Service Businesses (Good and Bad)

August 24, 2026 · 2 min read

Responding to reviews isn't optional if you want to rank well or build trust with customers comparing you to competitors — an unanswered review, especially a negative one, tells both Google and future customers that no one's paying attention. Here's how to respond to both kinds well.

Why Responding to Every Review Matters

Response rate and response time both correlate with stronger local ranking — see the full list in our GBP optimization guide. Beyond ranking, a thoughtful response is often the deciding factor for a prospective customer reading through reviews before they call. If you're still building up review volume, see how to get more Google reviews first.

How to Respond to Positive Reviews

Keep it warm, specific, and brief — thank the reviewer by name, reference something specific about the job if you can, and work in a natural, not stuffed, mention of your service or city.

  • Template: "Thanks so much, [Name]! Glad we could get that [service] taken care of for you. We appreciate you taking the time to leave a review — it really helps a local business like ours."

How to Respond to Negative Reviews Without Making It Worse

Stay calm and professional, acknowledge the concern, and move specifics to a private channel instead of hashing out details publicly.

  • Template: "Hi [Name], I'm sorry to hear the experience didn't meet expectations. We'd like to make this right — please give us a call at [phone] so we can look into what happened."

What Never to Do in a Public Response

  • Never argue with the reviewer or get defensive in public — it reads worse to everyone else reading it than the original review did.
  • Never share private customer details, like address, job cost, or personal information, in a public response.
  • Never offer compensation, discounts, or refunds publicly — handle that privately, off the review thread.
  • Never ask a happy customer to "update" a fair negative review in exchange for anything — that crosses back into incentivized-review territory.

Response Time Matters Too

Aim to respond within 48 hours, sooner for negative reviews. A fast, calm response to a negative review often reassures future customers more than the review itself concerns them.

Common Questions

Should I respond to every single review, even short positive ones?+

Yes, when you can. Even a brief "Thanks, [Name]!" beats silence, and consistent response rate is part of what Google and customers both notice.

What if the negative review is unfair or about a different job?+

Respond calmly and factually, and flag it to Google for removal if it clearly violates their content policies (fake, off-topic, or about a different business). Don't argue the facts in the public response itself.
